PrintFlow, explained plainly
Setup, jobs, payments and access. If something here is wrong, the contact page is the fastest way to tell us.
Getting started
How do I create a workspace?
Sign up with your email and verify it with the six-digit code. We create your workspace, a default department and an owner account, then email a temporary password and login link.
How do I connect a printer?
Open Departments in your dashboard, choose Connect printer for the department, and enter the six-digit pairing code in the PrintFlow Agent on the Windows machine. The code expires after ten minutes and is only shown once.
Where do customers upload files?
Every workspace has a public page at /your-workspace. Share its link or the QR poster for a department; uploads can be locked to a single department through the link.
Print jobs
Which files are supported?
PDF, DOCX, JPG and PNG, up to 50 MB each. Other formats are rejected before upload so no one waits for a server error.
How do customers track a job?
Every submission returns a tracking token. The track page shows whether a job is waiting, printing or ready for pickup.
Can I cancel a job that is already printing?
Yes, while the dispatch is still in flight. Cancelling records the event and notifies the agent; a completed dispatch cannot be cancelled.
What does a failed job look like?
The dispatch records the failure reason and the job stays queued. Completing a job is refused while an agent still has work in flight, so files are not deleted mid-print.
Payments
Does PrintFlow take payments?
No. PrintFlow does not process payments. Workspaces configure per-page rates to produce estimates, and payment is settled at the counter.
Why do I see a payment step on the upload page?
It is a clearly labelled preview that totals the estimated price before submission. It performs no payment and stores no card details — it confirms the customer accepts the estimate.
Access and security
What is the difference between the two admin roles?
The workspace owner is a super admin and sees every department. Department admins only see jobs, devices and analytics for their own departments.
Where are agent credentials stored?
The agent stores its own bearer token in user AppData on the Windows machine. It is never entered in the browser and never appears in the dashboard.
Ready to connect a printer?
Pair a department from the dashboard, then run the agent on the Windows machine next to the printer.
